Calculators for out of network private practice

Two working calculators for private practice therapists who set their own fee and hand clients a superbill instead of filing a claim.

Both tools answer questions that come up constantly in out of network practice and have no clean answer anywhere else. The first is the one clients ask on the consultation call: what will I actually get back. The second is the one therapists ask themselves at eleven at night on the last day of the month, when the superbills still are not out.

Nothing is stored and nothing is sent anywhere. Change the numbers, watch the results move, and use them in your own conversations with clients or with your accountant. If the second calculator returns a figure that annoys you, that is rather the point of running it.

Why both superbill calculators are open with no account

Out of network therapists already do this arithmetic by hand, usually in the margin of an intake form while a prospective client waits on the phone. Take the plan allowed amount for 90834 or 90837, subtract whatever is left on the client's out of network deductible, apply the coinsurance share to what remains, multiply by four weekly sessions, then set that against the full fee the client hands you at the session. That sum is what decides whether someone starts weekly therapy in February or waits until the deductible resets, and it should be on screen during the consultation call rather than sitting behind a sign up form.

The second calculation is the one almost nobody in private practice writes down: minutes per superbill times an active caseload, plus every rebuild caused by a wrong place of service or a service date reconstructed from a calendar four weeks later, plus hold time on verification of benefits calls. Added up once, it usually comes to a client day a month that nobody paid for. Both numbers are worth having on their own terms. Nothing you enter is stored or sent, and you are free to quote either figure to a client, a supervisor or your accountant without owing us anything.
